Privacy Policy

Last Updated: January 15, 2025

At Fluxis-Firely, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you use our financial scenario modeling platform.

We're based in Taiwan and comply with the Personal Data Protection Act (PDPA) of the Republic of China, along with relevant international data protection standards. If you have questions about how we handle your data, you can reach us anytime.

Information We Collect

When you use our platform, we collect several types of information. Some you provide directly, and some we gather automatically as you interact with our services.

Account Information

  • Full name and email address
  • Phone number (optional)
  • Company name and role
  • Password (encrypted)

Financial Data

  • Scenario models you create
  • Saved projections and assumptions
  • Calculation history
  • Custom templates

Usage Information

  • IP address and device type
  • Browser and operating system
  • Pages visited and time spent
  • Feature usage patterns

We don't collect sensitive personal data like government ID numbers, health information, or banking credentials. Our platform focuses on scenario modeling, so you control what financial assumptions you input.

How We Use Your Information

Your data helps us provide and improve our services. Here's what we actually do with it:

  • Maintain and secure your account access
  • Store your financial models and scenarios for future access
  • Send important updates about platform changes or maintenance
  • Improve our tools based on how people use different features
  • Provide customer support when you need help
  • Prevent fraud and unauthorized access
  • Comply with legal requirements under Taiwan law

Marketing Communications

We might send you emails about new features or educational content related to financial modeling. You can opt out anytime through the unsubscribe link in any email.

We won't sell your email to third parties or spam you with irrelevant content. Most of our communications are transactional updates about your account.

Data Storage and Security

We store your data on secure servers located in Taiwan and use industry-standard encryption both in transit and at rest. Your password is hashed using bcrypt, so even we can't see it.

Security Measures

  • TLS 1.3 encryption for all data transmission
  • AES-256 encryption for stored sensitive data
  • Regular security audits and penetration testing
  • Two-factor authentication available for all accounts
  • Automated backup systems with encrypted storage
  • Access controls limiting who can view your data

That said, no system is completely foolproof. We do everything we can to protect your information, but we recommend using strong passwords and enabling two-factor authentication on your account.

Sharing Your Information

We don't sell or rent your personal data to third parties. Period. However, we do share limited information in specific situations:

  • Service Providers: Cloud hosting providers and email services that help us operate the platform (all bound by confidentiality agreements)
  • Legal Requirements: If required by Taiwan law enforcement or regulatory authorities with proper documentation
  • Business Transfers: In the unlikely event of a merger or acquisition, your data would transfer to the new entity under the same protections
  • With Your Consent: If you explicitly authorize us to share information with specific third parties

Our service providers only get access to the minimum data they need to perform their functions. They're contractually prohibited from using your information for any other purpose.

Your Rights Under Taiwan Law

Taiwan's Personal Data Protection Act gives you several rights regarding your personal information. Here's what you can do and how to do it:

Access Your Data

You can request a copy of all personal data we hold about you. We'll provide this in a commonly used electronic format within 15 days. Log into your account and go to Settings > Privacy > Download My Data, or email us at info@fluxis-firely.com.

Correct Inaccurate Information

If any of your personal information is wrong or outdated, you can update it directly in your account settings. For data you can't change yourself, contact our support team and we'll make the corrections within 10 business days.

Delete Your Account

You can request full account deletion at any time. We'll permanently remove your personal data and financial models within 30 days, except for information we're legally required to retain for tax or regulatory purposes. Some aggregated, anonymized usage data might remain in our analytics.

Restrict Processing

If you believe your data is inaccurate or we're processing it unlawfully, you can request that we temporarily restrict how we use it while we investigate. During this period, we'll only store your data and won't use it for other purposes without your consent.

Data Portability

You can export your financial scenarios and models in JSON or CSV format. This makes it easy to move your data to another service if you choose. The export function is available in your account dashboard under Settings > Export Data.

Data Retention

We keep your information only as long as necessary to provide our services and meet legal requirements. Here's how long we typically retain different types of data:

Active Account Data

Retained as long as your account remains active. This includes all your financial models, scenarios, and account information.

Inactive Accounts

If you haven't logged in for 24 months, we'll send you an email asking if you want to keep your account. Without a response, we'll delete your account after 30 days.

Deleted Account Data

Most personal data is permanently deleted within 30 days of account closure. Backup systems purge this data within 90 days.

Financial Records

If you have a paid subscription, we retain invoices and payment records for 7 years to comply with Taiwan tax law requirements.

Anonymized Analytics

Aggregated usage data that can't identify you personally may be retained indefinitely for product improvement and research.

Cookies and Tracking

We use cookies and similar technologies to make the platform work properly and understand how people use it. Most are essential for basic functionality, while others help us improve the experience.

Types of Cookies We Use

  • Essential Cookies: Required for login, security, and basic platform functions (can't be disabled)
  • Performance Cookies: Help us understand which features get used most and where people encounter issues
  • Functional Cookies: Remember your preferences like language settings and dashboard layout

You can manage cookie preferences in your browser settings, though disabling essential cookies will prevent you from using certain platform features. We don't use advertising cookies or share tracking data with third-party ad networks.

International Data Transfers

Our servers are located in Taiwan, and we primarily serve users in the Asia-Pacific region. If you access our platform from outside Taiwan, your data will be transferred to and processed on our Taiwan-based servers.

We take appropriate safeguards to ensure your data receives adequate protection regardless of where you're located. This includes contractual protections with any international service providers and compliance with cross-border data transfer requirements.

Children's Privacy

Our platform isn't designed for children under 16, and we don't knowingly collect information from minors. If you're under 16, please don't create an account or provide any personal information. If we discover we've inadvertently collected data from a minor, we'll delete it promptly.

Parents or guardians who believe their child has provided us with personal information should contact us immediately so we can remove it from our systems.

Changes to This Policy

We might update this privacy policy occasionally to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify you by email and through a prominent notice on the platform.

The "Last Updated" date at the top of this page shows when we last revised the policy. We encourage you to review it periodically, especially before providing new types of information or using new features.

Continuing to use the platform after policy changes means you accept the updated terms. If you don't agree with changes, you can delete your account before they take effect.

Third-Party Links

Our platform might contain links to external websites or services we don't control. This privacy policy only applies to Fluxis-Firely. If you click through to another site, that site's privacy policy will govern how they handle your information.

We're not responsible for the privacy practices of third-party sites, even if you access them through our platform. We recommend reading their privacy policies before providing any personal information.

Questions and Complaints

If you have questions about this privacy policy or how we handle your data, we want to hear from you. We're committed to resolving any concerns quickly and transparently.

For privacy-related inquiries, you can contact our data protection team directly. We typically respond within 3 business days and aim to fully resolve issues within 30 days.

If you're not satisfied with our response, you have the right to file a complaint with Taiwan's National Development Council, which oversees personal data protection enforcement in Taiwan.
